Interlibrary Loan

Interlibrary Loan (ILL) provides access for UTPA library patrons to material not currently available at this library, and provides materials from our collection to all eligible requesting libraries.  We loan material to all students, faculty, and staff who are in good standing with the library.  Our policies are based on the National Interlibrary Loan Code.  Interlibrary Loan will not obtain material for people who have outstanding obligations to the library such as overdue fines, lost book fees, or overdue material.  If you want a chapter in a book or dissertation, please request the entire book or dissertation.
Hours
Office hours are Monday - Friday from 8 a.m. - 5 p.m.  You may pick up your items at the Circulation Desk. The Circulation Desk closes 15 minutes before the library closes.  Any fees must be paid when the material is picked up.
Making a request
When filling out the Interlibrary Loan Request form, it is important that you fill out all of the lines completely and legibly. Avoid using abbreviations when filling out the form.  The more information you supply on the request form, the faster your request can be processed. Incomplete requests will be delayed.  Unfortunately, there is no guarantee that your request will be filled.  However, there is no limit to the number of requests you can make.
It is important to plan ahead when requesting material from Interlibrary Loan, because the normal turn around time for filling a request is 2 weeks.  We process all your requests as quickly as possible.  All orders are dependent on the lending library's manpower and policies, as well as how far away the lending library is.  Keep track of what you have requested and what dates you asked for material.  You, the borrower, are responsible for any replacement charges assessed by the lending library for Interlibrary Loan materials that are damaged or overdue.
Formats
ILL requests material in a variety of formats.  However, items that are not generally available via Interlibrary Loan are:
  • Reference books
  • Books to be put on reserve
  • Recently published books
  • Non-circulating material
  • Books that the UTPA Library owns
  • Textbooks
Pick up and return of material
You may pick up ILL material at the Circulation Desk.  You may return books you borrowed through Interlibrary Loan to the Circulation Desk or to the book drop box by the north entrance to the Library.  Photocopies are yours to keep.
Renewals
You must apply to the Interlibrary Loan Office if you want to renew ILL material. Renewals may be granted, in some cases, if the renewal is requested several days before the due date. The decision to renew a loan is up to the lending institution.
Fees for books
Many libraries charge fees for material they loan to other institutions through ILL. UTPA passes these fees onto the requesting patron.  If you don't want to pay anything for your ILL book request, put $0 in the "Other" field on the bottom portion of the request form.  If you request a book and it arrives after you need it, you are still liable for the charges levied by the lending library.  If you state that you are willing to pay $0, UTPA will look for a library that doesn't charge fees. The wait for your material may be longer, or ILL may be unable to get it for you, but you will not be charged for the book.
Fees for journal articles
Patrons receive article copies free of charge if the lending library does not charge.  If the lending library levies additional charges, ILL passes these on to the requesting patron.
Copyright fees
In accordance with the Copyright Compliance Act, ILL will order no more than 5 articles from a given journal before passing on the copyright costs to the patron.  If we as an institution have already ordered 5 articles from the same journal, then order a 6th article, ILL will bill you for the copyright costs of the 6th and subsequent articles.  This money goes to the Copyright Clearance Center.
The status of your request
You should expect to hear a response on your ILL request within 2 weeks.  If you are eager to learn about the status of your request, wait until 10 working days have passed before contacting ILL to find out the status of your request.
Penalties
You cannot check out material if you have overdue materials or fees from ILL or the UTPA Library.   If you do not pick up material that has charges associated with it, the library will place a "hold" on your record until you pick up the material and pay for it.  Please contact the Interlibrary Loan Office at (956) 381-2762 if there are questions about any of the above information.
